Grant Application Procedures

In accordance with federal guidelines, grant applications (new and competing renewal) require review and approval by the Einstein IRB. This refers to the complete and final grant application submitted to the agency. In accordance with the NIH's "Just-in-Time" procedures, all grant applications will be marked "pending" by the IRB.

NOTE: It is the Principal Investigator's responsibility to submit the grant to the Einstein IRB for formal review.  The Einstein IRB encourages researchers not to submit prematurely to the Einstein IRB, as revisions to the grant may require further IRB review. A flowchart illustrating the Life Cycle of a Federal or Non-Federal Grant is available here.

  • Grant Applications that are not linked to an existing Einstein IRB study:
    • Pre-Application Steps:
      • Investigator completes and uploads the following materials to Cayuse:
      • Einstein IRB Electronically Checks/Signs 'Pending'.

    • Post-Application (after receipt of a fundable score or Just-in-Time request) Steps:
      • Investigator submits the following materials to the Einstein IRB:
        • Einstein IRB Research Application and detailed protocol. Go to http://www.einstein.yu.edu/irb for guidelines, instructions and forms.
        • 3 complete copies of the grant when Full Review is required.
        • 1 complete copy of the grant when Expedited or Exempt Review is permitted.

      • Once approved, the Einstein IRB notifies Grant Accounting and sends the investigator written approval for the grant and the protocol.
      • The investigator is responsible for sending the Einstein IRB approval letter to the agency.

        • Einstein IRB Amendment. Go to http://www.einstein.yu.edu/irb for guidelines, instructions and forms.
          • The amendment must detail the changes the result from the new grant or a statement such as, "There have been no changes in the human subject protocol, the investigators and key personnel, collaborating institutions or the resources utilized for this project."
          • When applicable, add the new sponsor to the Informed Consent Document in the "Who will have access..." section.

        • A bulleted summary of previously approved amendments.
        • 1 complete copy of the grant.
